THE CHALLENGE
The client's two-person sales team was spending six hours a day manually searching for prospects, copying data into spreadsheets, and re-keying it into HubSpot. Leads were inconsistent, duplicated, and often went stale before anyone followed up.
THE SOLUTION
We built an n8n pipeline that runs on a schedule: it queries the Apollo API for prospects matching the client's ideal-customer profile, enriches each record (company size, tech stack, funding), scores them against a weighted rubric, de-duplicates against the existing CRM, and creates clean HubSpot contacts with the right lifecycle stage. Qualified leads trigger an instant Slack alert to the rep who owns that territory. Everything is logged to PostgreSQL for reporting.
THE RESULT
The team now wakes up to 2,000+ pre-qualified leads a month with no manual work. Data-entry time dropped from six hours a day to zero, and first-response time fell from two days to under an hour. The pipeline has run for months with near-zero maintenance thanks to built-in retry and error-handling logic.
